Purpose and official guidance
This manual describes our records and request channel. A record’s existence does not mean it is publicly accessible. Applicable rights, confidentiality and statutory grounds for refusal must be considered.

Publicly available records
Website service descriptions, our published work, engagement guidelines, contact details, privacy notice, cookie notice, website terms and this manual are available without a formal request. Private client systems, enquiries and supporting documents are not public website records.
Record categories
- Business administration: company registration, governance, correspondence and commercial agreements.
- Sales and client delivery: enquiries, submitted documents, proposals, statements of work, specifications, change requests and project correspondence.
- Finance: quotations, invoices, payment and accounting records, where held.
- People and suppliers: employment or contractor records and supplier agreements, where applicable.
- Engineering and operations: source code, deployment documentation, infrastructure configuration, backups, security logs and support records.
- Privacy administration: consent choices, access requests, incident records and related correspondence.
Records required by other legislation may include company records under the Companies Act, tax records under tax legislation, accounting records and employment records under applicable labour laws. Availability and retention depend on the record, the applicable legislation and our relationship with the requester.
Personal information processing
Our website processes prospective clients’ contact details, company information, business requirements and voluntarily supplied files. Staff and supplier information may also be processed to operate our business. Purposes include responding to enquiries, contracting and delivering software, support, financial administration and security.
Recipients are authorised Corvanta personnel and contracted hosting, email and other delivery providers who require access for those purposes. We do not sell enquiry data. Website enquiries are stored on our managed South African VPS. A connected external measurement or collaboration service may process information internationally; such transfers require applicable POPIA safeguards. The Privacy Notice and cookie notice describe website processing and choices.
Website safeguards include encrypted transport, private file storage, staff authentication, request validation, access controls, encrypted backups and monitored infrastructure. Client-specific processing is governed by the relevant agreement.
Requesting a record
Send the Regulator’s prescribed Form 2 to the Information Officer above. Identify the record, your preferred access format, the right you seek to exercise or protect and why the record is required. Include contact details and evidence of authority if acting for someone else. We will arrange proportionate identity verification privately; do not submit identity documents through the general project enquiry form.
Request and access fees, exemptions and deposits are governed by the applicable regulations. We will notify you of fees and the outcome using the prescribed process; see the Regulator’s current fee guidance. A request is assessed within the statutory period, ordinarily 30 days, subject to lawful extensions and notification. Access may be refused on statutory grounds, with reasons and available remedies explained.
Privacy rights and remedies
For access to your personal information, correction, deletion or objections to processing, contact Marco Fourie using the details above. We assess requests under POPIA and other applicable law. If dissatisfied, you may seek the remedies provided by PAIA or POPIA, including an Information Regulator complaint or competent court application. A private body does not provide the internal appeal procedure used for certain public bodies.
Availability and maintenance
This manual is available on our website and for inspection at the business address by arrangement. Request a paper copy or accessible format from the Information Officer; lawful reproduction charges may apply. We review this manual when our contact details, records or processing materially change.
